Acquisition price is the opening number. A useful comparison documents the costs created over the time and mileage the business expects to use the vehicle.

Define the comparison period

Choose the same ownership period and expected mileage for every option. Record job type, routes, annual miles, payload, towing, idling, number of drivers, parking, expected upfit life, and replacement timing.

Document acquisition and setup

Include negotiated vehicle price, taxes, registration, finance charges, transportation, inspection, initial maintenance, upfit, graphics, telematics hardware, and time required to place the vehicle in service.

Estimate recurring operating cost

Include fuel or energy, insurance, preventive maintenance, tires, repairs, registration renewals, toll or fuel-program administration, washing, parking, and any recurring technology or vendor costs tied to the vehicle.

Put downtime in the model

Track lost gross contribution where it can be supported, idle labor, rentals, towing, rescheduling, overtime, customer recovery, supervisor time, and the risk created when another vehicle absorbs the work.

Account for value at replacement

Estimate disposition cost, loan payoff, and likely resale or trade value using a documented source and conservative range. The comparison can be expressed as: total cost = acquisition and setup + financing + operating + downtime + disposition − recovered value.

Make uncertainty visible

Label every input as known, quoted, historical, or estimated. Run a base case and a higher-cost case for fuel, repairs, downtime, and resale. This is more useful than hiding uncertainty inside one precise-looking total.
